AI meeting minutes: how meeting agents work

What are the limits of AI meeting minutes?
AI meeting minutes are only as good as the audio quality and the clarity of the conversation. Poor microphones, several people talking at once, strong accents or technical terms the system does not know all lead to transcript errors, and those errors can carry over into the summary.
Interpretation has limits too. A language model recognises that someone said “we’ll look into it”, but cannot always tell whether that was a commitment or a polite phrase. Irony, unspoken agreements and context from earlier conversations are often missing. That is why decisions and action items should be checked by a responsible person before they are sent out. For formal minutes, such as board or committee meetings, human approval remains mandatory.
Finally, not every conversation suits a meeting agent. Confidential HR conversations, negotiations over sensitive terms, or meetings where an individual’s health or legal situation is discussed are better held without recording, or only with a clear agreement from everyone involved. A simple rule helps: if someone would feel less free to speak openly because of the recording, the value of the minutes is usually lower than the cost to the conversation.
